What Exactly is Shoeboxed?

A few months ago, I came across a new online tool that has helped me to get better organized. I want the freedom to work wherever I want. In order to do this, I must have a paperless work environment. One of my favorite tools that I have been using for a few years is Evernote . Like many people, it is my external brain. I send everything to Evernote. Even though it has an awesome search feature, I have had to go into Evernote a clean it up a bit and re-organize the way I categorize things. The truth is Evernote is only as good as the information you put into it. To make it effective, you do need to describe what your note is all about so that you can find it later. Taking the Work Out of Paperwork Recently, a complimentary service has come along that allows you to take your paperless organization to a whole new level. Shoeboxed is a scanning service that works for both you and your business. Do you have receipts, paperwork, contracts, documents, and mail pieces that are given to you on a regular basis? In other words, these are physical hard copies that you have to make a decision as to what to do with it. Sure, you can always file them away in a physical filing system, but then again you have some disadvantages. For one, you often have to dig through several files to find the one that you need. Secondly, you cannot have a remote working environment if you do not have access to your documents online. One solution is to buy a scanner that is compatiable with Evernote and scan each and every document that you have. If you have the time, that could be a solution. The easiset option is to sign up an account with Shoeboxed. Once you sign up for an account, Shoeboxed will provide pre-paid envelopes for you to use. All you do is take all of your receipts and documents that you want available to you online and place them in the pre-paid envelope. Shoeboxed will then scan everything in for you. You then have the availability to access all of your documents at anytime. You can even download and print a document if you end up needing a physical copy. You can even export data to QuickBooks, Excel, FreshBooks, Outright, Salesforce, Evernote, Outlook and Google Contacts. I also like the interface of Shoeboxed online. There is a left sidebar that has automatic categories already set-up. This eleminates the need for me to have to manually organize everything. For example, when tax time is here, I can click on the receipts tab and view all of the receipts online that I want to claim on my taxes. This makes tax time so much easier. Is Shoeboxed Safe and Secure? This was probably my biggest question and one that I did a lot of reading up on. Shoeboxed owns processing facilities that are privately protected by keycard and are monitored with 24 hour video surveillance. Every employee undergoes an extensive background check and all employees are monitored closely at all times. As far as your documents online, they use the same level of SSL encryption as the largest online banks. Servers are also backed up daily and duplicate records are made of everything. You are never charged for more storage space. Your account comes with unlimited storing capacity. In fact, if you choose later to cancel your account, you will always have access to all your files that you have ever sent in. You only lose the ability to send in or add new documents. Ultimately, you will have to look at your unique situation and decide if this is a good option for you. The good thing is that this service does not have to be an all or nothing approach. You can use the service to just send in your receipts if you want or if you are a master networker, mail in all of the business cards you collect in a month.
